Work Session Meeting Minutes
Thursday, October 23, 2008
Attendees: Cayla Poznanovich, Alexis Baranov, Brandin Watson, Jeffrey Vasquez, Matthew Lord

SUMMARY
In this meeting we gathered to discuss a refinement of our meetings as a process. In particular, we want our meetings to be more focused and action item oriented. Thursday meetings in particular will be held in the format of revisiting prior action items for basic info and updates. Our goal is to maximize the output of our meetings in a way which will allow time for regular work to be conducted in our allotted time for the day. With this format in mind we should be able to knock off a fair amount of time on our Thursday meetings. Being mindful of this as a goal is also important to achieving more productive meetings. Our Tuesday meetings may also benefit from this as we learn to organize the time we have to get the most done. Tuesday meetings may run the format of reporting out information to the group and thus may be longer than Thursday meetings. It’s okay, one step at a time. As we develop the habits necessary to achieve these goals, naturally we will see the benefits in many ways, including homework time (as we are all students).
Jeffrey created a document of some of the goals we have been silently and vocally setting for ourselves. The content is below in the PDF:
This is great information for us, especially at this time while we are not only building skills and habits, we are also defining our roles in the Student Administrative Council. Emphasis here on HABITS. By creating and practicing certain habits we can maximize our efforts and minimize our time. Leaving the topic of habits open for the time being, we will surely be identifying some of these with a more direct approach in our future and before the end of the year.
With the above as our basis for this meeting and those to come, we still move forward with our agenda consisting of current and proposed projects up for brief review and prioritization.
- Transportation
This topic has been visited a few times this year, and with the results of our survey providing more insight, this is an important item. We would like to involve students in the process of acquiring the contracts which provide this service. Some points made about this are the fact that we are a commuter school, and yet many campuses with dorms have a better price offered for bus transportation passes. We would like to learn more about the process including dates, criteria, and process. We need to develop a clear statement of our issue or problem we would like to address. - Discount Program
This is not a current priority, however we will dedicate 1-2 hours of research for this item. The goal for this research is to follow up on leads as per Brandin’s email containing links of local student discount programs. This project is tied to the visibility of our organization and it’s work on behalf of students. - Logo
The goal of an SAC logo is to promote professionalism, visibility, and branding. This is an important item though we have decided to table it until later in the school year where there will be more time and experience gained which we can use to inform this process of creating an identity. In the meantime, we will consider other options, and Brandin will send us an example of a logo he created. - I-Best
Some potential issues were brought to our attention in regards to how this program generates revenue for the campus as a whole. We need more information about this topic and will be looking to speak with Marci Meyers as an initial point of contact. - Campus Maintenance
We will contact Bruce Kieser to learn more about the standards which are held in the campus buildings. - Self Defense Class
This self-defense class will be offered by Jeff Caldwell of NSCC’s Security Staff. He has offered this class many times in the past and would like to make it available again to students should they be interested. We would like to move forward and get this organized and properly promoted. - Electronic Messaging System & Online Voting System
This is being researched by Brandin, with no current action items. We’ll get updates as the information becomes available. Consideration should be taken of the scope of this project. There is the opportunity to work with several departments and community organizations. These opportunities lie in the funding, maintenance, and community collaboration of the project as whole. - Textbook Exchange Advertising Campaign
This is a HIGH PRIORITY item and includes the development of a quarterly implementation plan. It may include presentations as well as a personal kiosk for students to experience first hand help and registration into the book exchange service. A possible upcoming event where there may be an opportunity is on November 18th’s Enrollment Fair. - Student Response System
This system is on campus and currently under-utilized. This system could be used for immediate feedback during meetings, presentations, lectures, etc. Jack Bausch is the contact for this. - Forms
Tabled - Banners
We would like to move forward with this project and understand careful considerations need to be made for it to be successful. We will begin a document in Google docs identifying events and dates for banner consideration. We will review this list during Tuesday’s meeting. - Communications Manager
It has been overwhelmingly determined that this is important to our organization and that we will continue to search for an individual to fill this position. First we will review our current applications. If we feel it necessary, we will re-open the application process and continue to look for a reporter/writer in the interim. - Habits and Practices
We had a brief discussion of habits and practices which may help us to continue building upon our efficiency. This involves utilizing tools out side of our meetings as a forum and method for conducting our business. Examples of this would be creating a document for collaboration and then the subsequent reviewing of the document by the group. In this process, participation is key for having your voice heard. This type of practice should be expounded upon, though it makes a very efficient case for itself.
