Minutes from 6/20 were read and discussed.
Summary
The purpose of today’s meeting was to clarify summer work expectations, training schedules, next steps etc. We had a candid discussion about time commitments and expectations. Though this may have been somewhat uncomfortable we welcome and encourage honesty and tough conversations. In the long run candid communication will strengthen our effectiveness and teamwork and overall satisfaction and success.
Profiles
Everyone had taken time to review the profile links Jeffrey sent last week. We spent about 15 minutes discussing our observations and impressions of these profiles. We talked about the different messages each profile communicated through use of language, format and content provided. We talked about being intentional about our points of communication (profiles, website, emails, etc). We want to instill confidence and professionalism in all our communications.
Summer schedule
Concern was expressed about the amount of time that members will be required to work or volunteer this summer. Jeffrey and Janet assured the group that they will not be expected to work many hours this summer. They explained that the most important task we need to address now is finding strong applicants for the remaining positions. Everyone is encouraged to do what they can to identify and encourage applicants but are not expected to meet any specified quota. Finding the right people for the remaining positions is very important so we ought to be mindful of this and do what we can without over extending ourselves. After much discussion we came up with the following plan and agreements for summer:
- Members will not be expected to work during summer
- If they wish, members may start learning about and organizing their work as they have the time and desire
- Over the next few weeks Jeffrey and Janet will send reading materials that will help the group learn more about their roles and responsibilities, the college structure and other relevant materials that may be helpful
- If available, members are encouraged (but not required) to participate in the interview and hiring process for the remaining SAC members
- Jeffrey and Janet will take the lead on promoting the available SAC positions
- Training will be scheduled to take place within the first two weeks of September
- Training will be scheduled for full days vs. half days
Training plan
Jeffrey again reminded the group that this is a large organization with layers of campus, district and state policies, procedures, processes, politics that must be learned and navigated in order to conduct our work effectively. Jeffrey and Janet will create a training plan that will prioritize topics and necessary skills but reminded us that we will be learning throughout the entire year. This year our work will focus on developing systems (“laying bricks”) and creating a foundation that will allow future student leaders to build upon our work. Part of that system will be effective training.
Action items
- Jeffrey / Janet – set up a table in the espresso lounge promoting SAC positions
- Jeffrey – organize the SAC interview & hiring process
- SAC members – draft profiles (remember it doesn’t have to be perfect) due 7/2/08
